Terms and Conditions for Classes and Camps 2026


By registering for classes you acknowledge that you have read these terms and conditions you also acknowledge your understanding of the terms and conditions set forth below and agree to these terms. These written terms and conditions will supersede any verbal communication with any staff member. They are subject to change without notice but are always available on our studio’s websites. Registration into classes at Bella Ballerina means you have read and agree.   
CONSENT TO PARTICIPATE IN CLASSES Acknowledgment of Risk:  I/we realize that participation in dance classes and activities could involve possible personal injury. Despite precautions, accidents and injuries may occur. By signing this release form, I/we (the dancer and parent/guardian) assume all risks related to the use of all spaces used by Bella Ballerina, 2B Studios, and L&T Dance Enterprises, LLC.  I/we agree to release and hold harmless Bella Ballerina, 2B Studios, and L&T Dance Enterprises, LLC, including its teachers, dancers, staff members, and facilities used by all entities from any cause of action, claims, or demands now and in the future. I/we will not hold Bella Ballerina, 2B Studios, and L&T Dance Enterprises, LLC liable for any personal injury or any personal property damage, which may occur on the premises before, during or after classes. Furthermore, I/we agree to obey the class and facility rules and takes full responsibility for my/our behavior in addition to any damage I/we may cause to the facilities utilized by Bella Ballerina, 2B Studios, and L&T Dance Enterprises, LLC I understand that Bella Ballerina, 2B Studios, and L&T Dance Enterprises, LLC are licensed, accredited and insured organizations. In the event I/we should observe any unsafe conduct or conditions before, during or after my/our classes, I/we agree to report the unsafe conduct or conditions to the Executive Director, Artistic Director, instructor or staff member as soon as possible.
Photography/Video Permission
Permission is granted to Bella Ballerina to use photographs and videos of students for publicity purposes in both print, and online.  You are welcome to opt out of this. Please email your studio and let them know. It also helps to gently remind your class teacher, just in case.   
Refund/Cancellation Policies
When registering for classes, you are committing to a full session of classes (12, or 16 weeks for Fall, Winter and Spring and 8 or 9 weeks for Summer). The length of the session may vary based on the local public-school calendar and holidays.  Any notice of mid-session cancellation must be submitted in writing to [email protected], three classes/weeks prior to your desired drop date. Any tuition that falls during this time is still due and will be pro-rated. You must make your request PRIOR to the following month's payment being processed, or your payment will be processed in full and will not be refundable. Once a payment is made it becomes non-refundable and cannot be adjusted. Verbal notice to staff, including phone staff, is not accepted as notification of withdrawal.  We are saving a spot in the class for your dancer for the entire session, and this prevents us from filling it with another student.  Any notification of cancellation after a payment has been processed will not qualify for a refund or pro-ration regardless of reason/attendance status.  When withdrawing from a session early, you are also foregoing any make up classes available from missed dates that session. There are no refunds or credits for missed classes.
There are NO refunds/credits for missed classes for ANY reason. This includes lack of attendance, snow days, illness, vacation, change of plans, starting another activity etc. You must provide three weeks/three classes notice should you choose to drop your child's class mid-session.
·       We do not close for any Monday holidays or teacher workdays.
Make Up Class Policy
We offer the potential to make-up three classes per session. Make-up classes must be completed within the session that the absences occur and cannot be carried over into the next session. They are only scheduled on our website, which has the most up to the minute list of available make up classes. Phone staff use the same information/form that is found on our website, and do not have access to additional classes.  If you schedule a make-up class and no show without giving the studio 24 hours’ notice that you will not be there, this counts as one of your make-up classes, and cannot be rescheduled. Kindly email or call the studio if you cannot attend a scheduled make-up class. Make-up classes are offered as a courtesy in open and available classes only and are not promised or guaranteed to be available. If the class you have chosen for a make-up class fills with other student registering for the class permanently, your make-up class may be cancelled and will need to be rescheduled.  Please understand that families may register for a permanent spot in the class right before the class begins and that we do not have control over when people register. In the event this happens, the studio will notify you as soon as possible.  Make-ups are not promised or guaranteed to be available at times convenient to your personal schedule, or with your preferred teacher. Makeup classes are not available the first week or final week of any session. Make-up classes due to a studio closure or cancellation do not count towards your three allowed make-up classes per session.
Please do not bring sick children to class, or sick siblings if they are staying with you to observe class. If there is any question, please schedule a make-up class. Your classmates will thank you and so will your teacher!
If your dancer’s class falls on a Saturday or Sunday during a recital weekend (Fall and/or Spring Session), the studio may close for the Recital. To ensure your dancer doesn’t miss any instruction, class times may be adjusted on recital weekend or cancelled. If your class is cancelled parents are responsible for scheduling a makeup class at a time that works best for their family. This makeup class does not count toward the three makeup classes allowed per session and may be carried over into the following session.  We appreciate your flexibility and support as we celebrate our dancers’ hard work during recital weekend!
Class Transfers
You are welcome to change class days/times up to three times during the session if there is room available in your new desired class time. We highly recommend not changing classes during the final 8 weeks of a recital session if your child is participating in the recital because not all classes are doing the same dances. If your child has already registered for the recital, class transfers are not available the final four weeks of the session.
If you would like to transfer, you must contact us (571-364-0279 or via email) and request to transfer to the new class.  Please do not register your child into a new class time without contacting us! It creates an invoice for the new class, your child will remain enrolled in both classes, and you will get charged for both. If this happens your account will be credited but no refund will available. Bella Ballerina reserves the right to limit excessive transfers. 
Inclement Weather
In the case of inclement weather, we will send out an email, post on our website, post on Facebook, Instagram, and text the number on file if your class is affected. We kindly request that families personally check these sites (and your spam folder) if you are in question about the opening status of the studio, and to please not call and ask. Days missed due to the studio being closed for snow/inclement weather can be made up, and it is up to families to schedule a make-up class at their convenience on the website. If we are forced to close for multiple days, we will frequently open extra classes to accommodate make-up classes. If you feel driving conditions are unsafe for you, please do not attend and schedule a make-up class.
We do not follow Fairfax County schools for weather related closures.  
Class Cancellation
In the rare event that an instructor is unable to teach due to illness or an unforeseen circumstance and we are unable to secure a substitute instructor within two hours of the class start time, the studio will notify families as soon as possible via text message and email. If a class must be canceled by the studio due to instructor absence, families will have the option to attend a make-up class or receive a tuition credit for the canceled class.
Class Enrollment Requirements
To ensure a fun and engaging class experience, a minimum of three dancers must be enrolled in each class. If a class has fewer than three enrolled dancers by the third week of a session, the studio may need to cancel or combine the class. If this occurs, we will work closely with families to find an alternative class placement that best fits each dancer's age, experience level, and schedule.
Priority Registration
When actively enrolled in classes you will get to participate in Priority Registration!  We will reserve your child's spot in your preferred day and time of class in the upcoming session unless you tell us on the priority registration form that you would like to make a change. Priority registration forms are passed around during classes for two weeks as we approach the end of each session. These forms are the only method we use to process registration and make changes for our students. Please do not email the studio with your wishes for the following session.
When you sign the form that you would like to continue to the next session you are committing to the following session, are agreeing to these terms and conditions or any updates to them and need to provide us THREE weeks’ notice prior to the start of the session should your plans change.  If notice is made less than three weeks prior to the start of the Session, your payment will still be due but will be pro-rated for you.  Deposits for classes are non-refundable for any reason as they have been used to hold your child's spot in class. Once a payment has been made for the following session, they become non-refundable regardless of reason or attendance status, and cannot be adjusted, credited, or pro-rated. Bella Ballerina will not contact you about your child's attendance in class. Any changes from one session to the next should be indicated on the priority registration form only, please do not email the studio.
If we do not see a clear marking or you do not sign the form or put "undecided" we will not re-enroll your child, and they may lose their spot in their favorite class.
Bella Ballerina will attempt to contact you at least two times during priority registration if we do not receive a clear marking on the priority registration form before we enroll your child in the next session. If we do not hear from you and have no indication on the priority registration form about your wishes, we will NOT re-enroll your child without your consent and will not save their spot in your preferred day and time of class. After these attempts to contact you, if we still do not hear from you, we will then open registration to the public and your child will lose their spot in your preferred day and time of class.
While we do our best to maintain consistency, we cannot guarantee that the same instructor will be available for the same class or session. All our teachers are highly trained professional dancers/educators and are fully certified in the Bella Ballerina curriculum, ensuring a high-quality experience regardless of instructor. Please note that teaching staff may change at any time without prior notice. 
Recitals
We offer two recitals per year. Once at the end of the Fall Session, and once at the end of the Spring Session. Participation in our recitals is completely optional and requires a separate registration and fee that is not included in tuition. Dancers are not automatically enrolled in the recital. Detailed registration instructions, including deadlines and fees, will be emailed to all families and posted on our website. Because recital participation is optional, families must actively register their dancer for the event. Bella Ballerina will not register your child in the recital.
All recital fees, including any deposits, add-ons, Sweetheart Dance, or related charges, are non-refundable for any reason, including illness or absence on the day of the recital. These funds are used to pay vendors immediately, order costumes etc. and once paid, they cannot be recovered. Ticket fees are also strictly non-refundable.

Open Concept Studio
Our open concept studios allow parents a front row seat to all the fun! It helps young dancers gain confidence and allows parents to be right there every step of the way. We are designed for one parent or guardian to attend class and sit in our parent observation area which is fully open to the studio. A benefit of our open-concept studio is that it allows parents and teachers to work together as a team to help dancers have a successful class experience. We understand that everyone has occasional off days, and sometimes a little extra encouragement is all a dancer needs to get back on track. Our instructors will always make every effort to positively redirect a dancer's behavior during class. If a dancer is struggling to follow directions, the teacher will typically attempt redirection up to three times. If additional support is needed, the teacher may ask a parent to step in and help encourage their dancer to follow our easy studio rules so they can be ready to learn and participate. In rare situations, a dancer may be asked to take a short "Ballerina Break." A Ballerina Break is simply a few minutes away from class to reset, get a drink of water, and regroup with a parent. This is not a punishment or a “time-out”, but rather an opportunity to help the dancer return to class feeling calm, focused, and ready to have fun. Our goal is always to create a positive, encouraging environment where every dancer can learn, grow, and enjoy their time at Bella Ballerina.
 
At least one parent is required to stay and attend class for dancers in the Boppers and Bunnies levels. For all other levels if the dancer is at least five years old and separates easily from their parent, they may be dropped at the start of class and may be picked up at the class end time. Other than active class times, children may not be left unattended at the studio. 
 
Parents and Teachers: A Team Approach
At Bella Ballerina, we know that kids are kids! Dance class is a place to learn, laugh, dance, make friends, and have fun. It’s okay to be silly sometimes!  We don't expect perfection, and we understand that everyone has occasional wiggles, off days, and moments when they need a little extra help getting back on track. We simply ask that dancers come ready to participate, follow directions, keep their hands and feet to themselves, and be kind to their fellow dancers and instructors. Our staff is experienced and trained in working with young children and will always do their best to redirect behavior in a positive and encouraging way.  In the rare event that a dancer’s behavior becomes consistently disruptive to the group or creates a safety concern, we will partner with families to find solutions and provide additional support. If, despite these efforts, a dancer is unable to participate safely and successfully in the studio environment, we may need to pause their participation for the remainder of the session. Sometimes it’s better to wait a few months and try again! A couple months in the life of a young child can be huge.  Our goal is for every child to have a magical, memorable, and successful dance experience and we love that our studios are open so that we can work together with parents to make that happen.
Parent Observation Area Etiquette
Our open-concept studio allows families to watch and enjoy their dancer's progress each week. To help create the best possible learning environment for all students, we ask that parents and guests in the observation area keep conversations to a minimum while classes are in session. Please refrain from taking phone calls, playing videos or music, or engaging in other activities that may distract dancers or instructors. If you need to take a call or have a conversation, we kindly ask that you step outside the observation area until you are finished. We also encourage parents to allow instructors to manage the class without coaching, correcting, or directing dancers from the observation area. While it can be tempting to help, children learn best when they are focused on their teacher and developing independence in the classroom. By working together to maintain a calm, quiet, and positive environment, we can ensure that every dancer can learn, grow, and enjoy their time at Bella Ballerina.
Siblings at the Studio
We love the family atmosphere in our studios, and we’re always happy to welcome siblings in the parent observation area during class time. We know how precious family time is!
To help us keep the studio safe and focused for all dancers, we gently ask that siblings always stay seated with their parent or guardian, and refrain from running around the studio or playing in the hallways and boutique. Keeping the environment calm helps our dancers and instructors stay focused during class.
Because our space is open, we kindly ask that children waiting remain as quiet as possible to avoid distracting the dancers and teacher. Bringing a quiet activity for siblings like a book, coloring, or homework—can be a wonderful way to help keep them entertained while creating a positive experience for everyone.
 
Bella Benefits Referral Rewards Bonus
We’re delighted to offer a $50 tuition credit for every new family you refer to Bella Ballerina who completes a full session of classes. There is no limit—you can earn this credit as many times as you’d like!
To receive the credit, the referred family simply needs to send us a brief note including your name, so we know who referred them. Once they finish their first full session, the $50 credit will be automatically applied to your next regular class tuition payment.
Please note: The credit applies to tuition only and cannot be used for recitals, camps, or boutique purchases. The bonus has no cash value. Tuition credits must be used for the next session’s tuition and will expire after six months if not used. If you choose to take a break from classes during the session when the credit would apply, the bonus will be forfeited and removed from your account.
 
Credits
Any courtesy credits made to your account offered by Bella Ballerina must be used within six monts from the date of issue and will automatically expire after six months if not used and cannot be retrieved or re-issued. 
Billing Corrections and Adjustments
Upon timely notification, the studio will make reasonable efforts to investigate and correct any verified billing errors as promptly as possible. Billing adjustments or credits will not be applied retroactively if more than two (2) months have elapsed from the original charge without notification from the account holder.
Client Responsibility
Billing errors most commonly occur due to incomplete or missing registration, failed credit cards, or when the Terms and Conditions of a Dance All Year Contract have not been fully executed prior to payment processing. It is the sole responsibility of the client to ensure that all bills are paid in a timely manner and notify the studio if they are not being billed properly for tuition. If tuition does not bill to your account properly Bella Ballerina has the right to collect any unpaid or outstanding tuition or bills up to 12 months after the bill was supposed to process and will add late fees if applicable.  
Account Review and Payment Schedule
Clients are responsible for regularly reviewing their Sawyer Account to confirm payment schedules, contract expiration dates, class enrollment, and other important account details. Many billing questions can be resolved by reviewing account information found on your Sawyer Account 
Billing Disputes Required Notice Prior to Dispute
If you believe a charge has been made in error, you agree to notify the studio directly and in writing via email and to allow a reasonable opportunity for resolution before initiating a dispute with your credit card issuer. We are happy to help resolve any issue quickly! 
The studio is committed to working with families in good faith to resolve billing concerns promptly and fairly. Initiating a credit card dispute interferes with this resolution process and significantly delays the studio’s ability to help you and fix the issue 
Impact of Credit Card Disputes
Upon initiation of a credit card dispute, the disputed funds are immediately withdrawn by the card issuer from Bella Ballerina’s account and may be held for up to ninety (90) days during the investigation period. During this time, the studio is unable to apply credits, issue refunds, or otherwise service the account until the dispute is resolved. This means, we cannot help fix any errors even if we wanted to.  The studio is also required to respond formally to the dispute, provide documentation, and communicate with the issuing bank, resulting in additional administrative and financial burden.
Fees, Late Payments, and Recollection
If a dispute is resolved in favor of Bella Ballerina:
A non-refundable dispute fee of $50 will be assessed to the account to cover bank fees and additional administrative costs. Any payment subject to a dispute will be considered late during the dispute period, and applicable late fees will be added. The disputed amount will be re-collected at the regular session rate, if you are a Dance All Year participant. 
Billing Communication & Account Review
Billing matters are handled exclusively by the studio’s administrative staff. Studio instructors are not authorized to address billing or tuition questions, any discussions with instructors will not help resolve billing matters or guarantee accurate information.
All billing or tuition inquiries must be directed to the studio via email or phone so that administrative staff can provide timely and accurate assistance.
Clients are responsible for regularly reviewing their Sawyer account to monitor upcoming payments, contract expiration dates, class enrollment, and other account details.
Failed Payments
Any failed payments are subject to a $25 failed payment fee. Any payments made more than 10 calendar days after the payment due date is considered late and will automatically be billed a $25 late fee. Bella Ballerina reserves the right to cancel your enrollment and prevent any future enrollment due to repeated failed and/or late payments. 



This 2026/2027 contract supersedes all previous year’s terms and conditions, and any memos that may have been issued from time to time on subjects covered. Since our business and our organization are subject to change, we reserve the right to interpret, change, suspend, cancel, or dispute all or any part of our policies, and procedures, at any time. We will notify all customers if there are any changes. Changes will be effective on the dates determined by Bella Ballerina and may be dated as of the original presentation of material. Changes may be distributed via email and may not require a signature as receipt of new policies or practices. No individual teacher, manager, or phone staff, has the authority to change policies, make exceptions, or make decisions about the Terms and Conditions/Policies of regular classes and camps or of the Dance All Year Contract at any time. If you are uncertain about any policy or procedure, please email your studio directly.

Please do not reach out about account related questions on Facebook or Instagram. We do not monitor the messages on those platforms, and we like to give families timely responses.
Call Us:  571-364-0279 our phones are open 7 days a week 9am-5pm if nobody answers right away between these hours please leave a message as they are most likely on the line with another family. We will call you back within 24 hours.  Please do not call outside of our posted business hours. While we love hearing from our Bella families, our phone staff carry their "Bella Phones" with them after hours in case of a tutu emergency. That means a 4:00 AM phone call doesn't ring an office; it rings the phone of a real human who is probably dreaming about ballet shoes and recital costumes!  If you need assistance outside of business hours send us an email, and we'll be happy to get back to you as soon as we're back in the studio.
 
Dance All Year
Dance All Year is an optional deeply discounted optional program that Bella Ballerina offers. To be enrolled into the Dance All Year program you must request enrollment, and you must request to renew the contract if it expires. Additional terms and conditions apply to this optional contract. They can be found on our website and will be sent to families who are interested. Dance All Year lowers your tuition to $95 per month.
